To reserve services on the date requested, M.E.G.A. Park Party Venue requires this contract to be signed by both parties and an initial non-refundable, non-transferable deposit of 50%. Full payment is required for events booked less than two months before the desired date.

Please refer to the Cancellation Policy on Page 4 of this contract before signing.

Deposits and payments (Cash, Credit/Debit Card) will be invoiced by M.E.G.A. Park Party Venue automatically. Payments will be billed payable to M.E.G.A. Park Party Venue on the schedule noted below.

This contract defines the terms and conditions under which M.E.G.A. Park Party Venue and RENTER (hereafter referred to as the RENTER) agree to the RENTER's use of M.E.G.A. Park Party Venue on the date specified above. All changes to the original contract must be in writing and emailed to events@megaparkusa.com from the renter only.

Renter has inspected the premises and accepts the use of the premises "as is." Renter agrees to indemnify and hold harmless MEGA Park and the Rental Facilities & Venues (MEGA PARK) department from any claims of any kind, including but not limited to; attorney's fees arising from the use or occupation of the premises by renter, renter's guests, invitees, agents, employees, or any independent contractors working for the benefit of renter. Renter further agrees to comply with all applicable ordinances and laws.

The renter shall find the premises to be clean and in a safe condition and hereby agrees to leave said premises and surrounding areas adjacent to the facilities in a clean and safe condition. Failure by the renter to adhere to this provision, will subject renter to forfeiture of damage deposit. The renter also agrees to abide by all rules and regulations that are attached and made a part of this contract. The renter is responsible for damage or breakage to any portion of MEGA PARK and its property. All MEGA Park facilities and property are non-smoking. All parking is first-come, first-serve. No parking spots will be reserved. MEGA PARK is not responsible for unauthorized parking, towing or damage to vehicles.

The rental procedures, rental facts, caterer's rules, florist's rules, Policies and Procedures and cancellation policy, which are enclosed hereto, are incorporated into this contract and by signing this contract, renter is agreeing to all stipulations. In the event MEGA PARK shall learn that renter intends to violate or violates said rules, it reserves the right to cancel this contract and keep any/all monies paid.

Liability: M.E.G.A. Park Party Venue will not be held liable for circumstances beyond our control, such as but not limited to weather, electrical outages, and the actions of parties not employed by or otherwise under the control of M.E.G.A. Park Party Venue. Unless mandated by local, state, and/or federal government to close, all events will take place on the contracted date if the venue is permitted to host your estimated guest count or at least 50% of the estimated guest count, whichever is greater. If closed by mandate, M.E.G.A. Park Party Venue will provide a few optional dates available to move your event. Additional surcharges may apply if a date is wanted that has not been offered. The cancellation policy takes effect in any other circumstance.

Policies, Procedures, and Regulations

Rental Procedures

All agreements are between Renter and the MEGA Park Sales Office. Any failure by a renter to comply with all of our guidelines will result in the loss of all or a portion of the damage deposit. We strongly suggest that you, the renter, make yourself and anyone else assisting you, very familiar with all the rules and regulations contained in this information packet.

  • Renter must be at least 18 years of age (21 years of age if alcohol is to be served) to sign a rental contract.
  • No function will take place without adult supervision.
  • The person who signs this contract must be present at the function.
  • For an event to go smoothly, the Manager on Duty must be able to speak with the renter during the event. If English is not spoken by the renter, then the renter must have an adult who speaks English designated to assume this responsibility. This individual must be present during the whole rental time.
  • A signed Rental Application and a deposit of 50% of the room rental fee are required to guarantee a room and date. Full payment is required for events booked less than two months before the desired date.
  • The remaining rental balance, damage deposit, and miscellaneous charges are due 30 days prior to the event date.
  • A 10% penalty fee will be incurred if final payment is not received before the 30-day required deadline. Final payment is to be made 30 days prior to the event. A 10% late fee will be assessed if final payment is not received within twenty-four (24) hours of the due date. If final payment is not received within forty-eight (48) hours of the due date, your event will be cancelled, and all monies paid will be forfeited.
  • If additional time is required beyond the specified time, there is an extra fee charged for each additional hour. At time of event, should RENTER desire more time than contracted, additional hours will be at a rate of $150 per hour provided that both room and adequate staff are available to accommodate request.
  • When the Sales Office has confirmed that all contractual requirements have been fulfilled, the Damage deposit refund will be processed and refunded approximately 10-15 business days after the function date. A check-out sheet must be completed and signed by the Manager on Duty before leaving the facility.

Responsibility and Damages

M.E.G.A. Park Party Venue does not accept any responsibility for damage to or loss of any articles or property left at the venue prior to, during, or after the event. The RENTER accepts financial responsibility for any damages to the venue or its equipment caused by the RENTER’s employees, guests, or contracted vendors.

Damage Deposit deductions can be caused by:

  • Breakage, damage, and/or loss of items from facility.
  • Entry before specified rental time and/or departure after rental time.
  • Violation of rules by renter or vendors contracted by renter.
  • Any damage, destruction, vandalism of facility or other MEGA Park property.
  • Failure of renter and caterer (if used) to check out with the Manager on Duty.
  • False fire alarm pulled by a guest of an event. (Total loss of damage deposit)
  • Misrepresentation of use of facility.

Cancellation Policies

All cancellations must be emailed to events@megaparkusa.com to be accepted and processed. When submitting your email cancellation please include your full name, event date, and reason for canceling.

  • If the event is cancelled within 24 hours of contract signing, MEGA Park will issue a refund of the damage deposit 10-15 business days after official cancellation has been received and approved.
  • If the event is cancelled before final payment is made, MEGA Park will issue a refund of the damage deposit 10-15 business days after official cancellation has been received and approved.
  • If the event is cancelled after final payment is made, MEGA Park will issue a refund of the damage deposit 10-15 business days after official cancellation has been received and approved.

Decorations

  • All decorating must be done during the specified rental time on event day and all decorations must be removed during the last hour of rental. Nothing may be left behind for pick up later.
  • M.E.G.A. Park Party Venue will provide three (3) tables and twenty (20) chairs at no additional cost. RENTER is responsible for table linens, chair covers, chair sashes, and other related items.
  • RENTER may provide their own centerpiece décor and accent décor and opt out of any additional décor packages offered by M.E.G.A. Park Party Venue. All RENTER décor must be approved by the Owner/Manager prior to the event to ensure safety and fire hazard compliance of such décor. Any and all approved décor is the responsibility of the RENTER.
  • NO signage or decorations of any kind shall be attached to any part of the interior of the building including walls, floors, ceilings, etc. We do not allow the RENTER or vendors to tape, staple, or nail anything to the venue walls or doors. Nothing causing permanent damage may be used in any facility. All items MUST be approved by the Owner/Manager.
  • The following items are strictly prohibited on the property:

    • Bubbles
    • Candles without votives
    • Confetti, glitter, silly string or similar items
    • Fog Machines
    • Hay, Straw, Grass, Leaves
    • Pyrotechnics/fireworks including sparklers
    • Flower Petals
    • Wish Lanterns
    • Any item that is "sprinkled" on tables (sand, shiny confetti, pebbles, etc.)

If any of the above items are used, the security deposit will be forfeited.

Floral delivery and pickup must be done during the specified rental time as dictated by the renter. In all cases, the florist is responsible for cleaning after the delivery or construction of arrangements. No real flower petals may be scattered inside, and no artificial flowers may be scattered outside. Artificial flowers may be scattered inside, but all must be picked up during the clean-up hour. Removal of any pots, plants, or any other props is required during the last hour on the day of the event. No items will be stored.

Floors must be left in a vacuum-able condition. Anything larger than a dime must be swept up, by the renter, during the last hour of rental.

Clean-Up Responsibilities for Renters and Caterers

All cleanup must be completed by the end of the rental time indicated in the contract. Damage deposit deductions will occur if all clean-up requirements are not met. A Check-Out sheet must be completed to assure a refund of the damage deposit.

  • Load-in, set-up, and clean-up are to be done during the specified rental time.
  • Room clean-up:
    • The renter is responsible for cleaning up the room that was used.
    • All debris larger than a dime must be removed from the floor.
    • All trash generated by the event must be taken to the dumpster on-site at the end of the rental.
    • Leave tables and chairs in place.
    • Any decorations (including staging, drapes, AV equipment, etc.) must be removed from the building.
    • If your set up was more extensive than most, you may need to end your event more than 60 minutes prior to the end of rental to accomplish a complete cleanup/breakdown.
    • Boxes need to be broken down before putting in dumpster. Fund-raising events must remove boxes from the site.
  • Failure to remove all items will result in an additional $250/hour cleaning and removal fee.

Food and Beverage

Caterers:

  • The renter is responsible for ensuring the caterer follows all the rules and regulations and should give the caterer a copy of the Policies and Procedures and Regulations.
  • Caterer must clean all food preparation areas used, and renter is responsible for clearing all trash to the on-site dumpster.
